Version and effective date

These terms are version 2027-spring-v1, effective November 2026. When you tick “I agree” before paying, this version is recorded with your payment. If the terms change, the version number changes, and the version you accepted is the one that applies to that payment.

Chess Term Introduction

The Chess Term runs from - 16 classes, one 1.5-hour class per week per group (lecture and practice), online or in person at our Main Campus in Richmond Hill. (Debate & Public Speaking return in a later term.)

CCYC reserves the right to change the coach before or during the term, and to combine or cancel a class if fewer than 6 students are registered before the term starts.

Registration

• One account covers all your children. Add each child under My Children in My Schedule - no need for a separate account or email address per child.
• Each child needs their own term package (1 term: 16 weekly classes) and their own weekly group.
• Find your child's group on the Chess Schedule and note its group code - clicking Register takes you straight to that group on the booking page.

Schedule Changes (Reschedule Policy)

Your child's weekly class is fixed for the term. Each enrolled child has 2 schedule changes per term, with at least 24 hours notice. Changes are not made online: to reschedule, contact our class-change desk, Ms. Tina.

• First choice: the same level with a different teacher, any future week (online and in-person classes are interchangeable).
• Same teacher, same level: only within the same week (so no lesson content is repeated).
• Also allowed: one level up or down (e.g. Advanced 2 may switch into Advanced 1 or Advanced 3).
• Changes requested less than 24 hours before class, or beyond the 2 included changes, aren’t guaranteed - contact the class-change desk and we’ll do our best to help.
• Moving up a level mid-term is arranged by your coach and CCYC - contact us.
• If CCYC cancels a class (e.g. snow day), a make-up week is added at the end of term - no refund is issued for CCYC-cancelled classes.

Refunds ( Chess Term)

Term fees are non-refundable once registration is complete, except where a refund is required by law, including Ontario’s Consumer Protection Act, 2002. Instead of a refund, use your child's 2 schedule changes to move classes you can’t attend (24+ hours notice, through our class-change desk).

Exceptions:

• If CCYC cancels a course due to insufficient enrolment or other reasons, a full refund will be processed.
• CCYC understands unexpected family situations - please contact us and we'll work out a plan together.

Nothing in these terms limits your rights under consumer protection law.

Photo & Video Consent

At registration, the parent/guardian can choose whether CCYC may use photographs and videos shot in classes and events for external and internal promotion. This is optional, separate from the terms above, and set per child: change it at any time under My Children on the My Schedule page (edit the child), or email us at ccycservice@gmail.com. Your Account & Payments

Check each child's classes and bookings any time in My Schedule. Once your payment is received and confirmed, your child's 16 classes are added to your account and you'll receive an email confirmation.

e-Transfer seat hold

If you choose a group and pay by Interac e-Transfer, we hold your child’s seat for 24 hours after you tell us you’ve sent it (the “I’ve sent the e-Transfer” button). If we haven’t received the payment by then, the seat is released and we email you. Once the payment is confirmed, your child is enrolled in that group.

Chess Term Fee

One 1-term package per child. Both totals include HST (13%).

Online classes

• A parent or guardian is responsible for supervising their child at home during online classes.
• Zoom links and passwords are for enrolled students only. Please don’t share them.
• Online games are played on lichess.org. See our Privacy Policy for the services we use.

Conduct

We ask students, families and coaches to treat each other with respect. If a student’s behaviour seriously disrupts a class or puts others at risk, we will contact the parent or guardian first. For serious misconduct, CCYC may move the student to another group or remove them from the program.

Liability

We take reasonable care to run safe, well-supervised classes. For in-person classes, parents and guardians are responsible for their children before class starts and after it ends, including drop-off and pick-up.
